Acuity PPM API
Power BI

Power BI setup

Enable reporting, connect your datasets, and configure refresh.

Use Acuity's OData feed to import company reporting datasets into Power BI.

Enable reporting

  1. As an Admin, open Settings > Global Settings > Power BI for the selected company.
  2. Turn on Enable Power BI reporting and wait for Ready.
  3. Copy the OData URL and Company API token.

If the section is unavailable or preparation fails, contact Acuity Support. Self-service availability depends on your Acuity version.

The token grants company-wide reporting access across portfolios, without individual Acuity project-permission filtering. Share it only with authorized report authors and manage access to published reports in Power BI.

Connect Desktop

  1. Select Get data > OData Feed and paste the copied service-root URL:

    https://<acuity-host>/api/bi/odata/v1
  2. Choose Basic authentication. Enter company_api_token as the username and the company token as the password.

  3. Select tables in Navigator and Load. Start with financials; see Datasets & modeling.

Use your Acuity environment's host, not this documentation site's address. Keep tokens and query options out of the URL. For connector details, see Microsoft's OData Feed guide.

Publish and refresh

  1. Publish to your Power BI workspace and open the semantic model's settings.
  2. Configure Gateway and cloud connections and Basic source credentials. Microsoft lists Basic OData authentication as requiring a gateway; arrange this with your Power BI administrator.
  3. Run Refresh now, check Refresh history, then configure Refresh > Schedule refresh and failure notifications. See Microsoft's refresh guide.

Acuity checks reporting data daily when automatic refresh is configured. Settings > Global Settings > Power BI shows the schedule and next automatic check in your local time. Datasets already successfully generated that day in the company's time zone are skipped. Use this schedule when choosing Power BI refresh times; generation may take a few minutes when needed.

To regenerate all reporting datasets, including those already generated today, select Refresh data now in Settings. You can request this once every 30 minutes per company. The button is disabled during generation or the cooldown; Settings shows when another request is allowed. After generation finishes, refresh your report separately in Power BI to load the latest exports.

Power BI refresh imports the latest successful exports and does not start Acuity generation.

Ready means available, not necessarily current. A failed export leaves the previous successful data available. Settings shows Last data generation in UTC and your local time. This is the latest available export timestamp; datasets are generated separately, so it does not mean every table was updated at that time. Compare individual export timestamps with Power BI refresh history; see Export metadata.

Disabling reporting blocks future BI requests and refreshes. Previously imported Power BI data remains in its reports and semantic models.

For connection failures, see Errors and fixes.
